The problem

Your Team Shouldn't Have to Handle Every Repetitive Task Manually.

Not every practice has every problem below, but most recognise several of them.

  • Repeated questions about services, availability and appointments
  • Enquiries waiting too long for a response
  • Manual appointment coordination
  • Missed or inconsistent follow-ups
  • Duplicate data entry
  • Disconnected communication and CRM tools
  • No clear path for escalating complex enquiries to staff

Solutions

Four areas where automation can help

Each one starts with the business problem, then the approach, then the safeguards.

01

AI Patient Reception

The problem
Front-desk staff answer the same questions about services, hours and availability all day, and enquiries wait while they do.
The approach
  • AI-assisted handling of common enquiries
  • Answers drawn from approved service and clinic information
  • Messaging and website integrations
  • Escalation to staff when needed
Safeguards
The assistant answers only from approved content, never gives clinical advice, and hands off to a person when it is unsure.

02

Appointment & Follow-up Automation

The problem
Booking back-and-forth, reminders and follow-ups depend on someone remembering to do them.
The approach
  • Appointment request workflows
  • Scheduling-system integrations where supported
  • Reminders and follow-ups
  • Rescheduling and exception handling
Safeguards
Double-booking is prevented in the data layer, not left to the AI, and unusual requests go to staff.

03

Healthcare CRM & Enquiry Operations

The problem
Enquiries arrive in several channels and end up copied by hand into spreadsheets or a CRM, if at all.
The approach
  • Enquiry capture
  • CRM record creation and updates
  • Routing and task assignment
  • Follow-up workflows and operational visibility
Safeguards
Duplicate checks before records are created, clear ownership of every enquiry, and a visible status for each one.

04

AI Knowledge & Internal Workflow Systems

The problem
Staff lose time hunting through documents, or moving information between systems by hand.
The approach
  • Retrieval from approved knowledge sources
  • RAG-based assistants
  • Internal administrative workflows
  • API and database integrations
  • Reporting and information movement between systems
Safeguards
Answers stay tied to approved sources; when the sources do not cover a question, the system says so and routes it to a person.

How I work

Six steps, and AI is not always the answer

Where a simple rule solves the problem reliably, I use the rule. AI goes in only where it adds something rules cannot.

  1. 01

    Discover

Understand the existing workflow and the business objective.

  2. 02

    Map

Identify bottlenecks, dependencies, risks and exceptions.

  3. 03

    Design

Choose the simplest suitable mix of rules, integrations and AI.

  4. 04

    Build

Implement workflows, APIs, AI components and integrations.

  5. 05

    Test & Deploy

Validate normal cases, edge cases, failures and handoffs.

  6. 06

    Monitor & Improve

Review reliability, errors and opportunities to improve.

Selected projects

Real builds, honestly labelled

Each project is marked as a client, demonstration or internal project. No results are claimed beyond what I can document.

Client project

AI Dental Reception & Live Queue System

An AI receptionist and live patient-queue engine where the database, not the AI, owns the scheduling logic.

Flow: Patient message → AI receptionist → Queue engine → Delay notice / reminder → Reception dashboard

Internal project

WhatsApp AI Receptionist with Live Booking

Qualifies an enquiry on WhatsApp, checks live availability, books a slot and hands off to a person with full context.

Flow: WhatsApp enquiry → AI qualification → Live availability → Booking → Human handoff

Client project

Lead Qualification & CRM Automation

Rule-based lead scoring, auto-tagging and CRM field mapping with duplicate protection, delivered in n8n for two Upwork clients.

Flow: Incoming lead → Scoring and auto-tagging → CRM field mapping → Duplicate check → Staff follow-up

Client feedback

What clients say about working with me

Feedback from completed Upwork jobs and Fiverr orders. These are early, mostly small engagements, and I would rather show them accurately than inflate them.

Upwork
“Great work. Siddique understood the workflow quickly, handled the Zoho mapping and duplicate logic well, and delivered on time. Would work with him again.”

Reliability and engineering

Automation Must Work Beyond the Demo.

A workflow that runs once is not a system. These are the engineering priorities I build around. None of them is a guarantee, but each reduces the chance of a quiet failure.

  • Error handling

Failures are caught, logged and routed to a person instead of disappearing.

  • Duplicate-event protection

The same message or webhook arriving twice does not cause the action twice.

  • API failure handling

Timeouts and outages are expected, with retries and clear fallbacks.

  • Retries and idempotency

Where appropriate, operations are safe to repeat.

  • Logging and monitoring

Failed runs and exceptions are visible to a named person.

  • Human escalation

Defined points where automation stops and staff take over.

  • Access control and data minimization

Least-privilege access and only the data a workflow needs.

  • Maintainability and documentation

Written handover so your team is not dependent on memory.

  • Backup and recovery

Considered where the system stores state that matters.

Is this a fit?

Good fit, and when the answer is not automation

Usually a good fit if

  • Your team repeatedly performs the same administrative tasks
  • Enquiries or leads are being missed or answered late
  • Staff update several systems by hand
  • Follow-ups are inconsistent
  • Your business relies heavily on conversations
  • You already use a CRM or scheduling system with an API

Sometimes the answer is not automation

If a process is poorly defined, automating it just makes the problem happen faster. Before recommending AI, I ask:

  • Is the process clear, and is the decision repeatable?
  • Is the data available?
  • Is AI actually necessary, or would a rule do?
  • What happens when the system is wrong?
  • Where should a person stay involved?

If automation is not the right answer, I will tell you.

FAQ

Questions clinic owners ask

Does your AI diagnose patients or replace clinic staff?

No. The systems handle routine administrative communication, such as common questions, appointment requests and reminders, and pass anything clinical, sensitive or uncertain to your staff. I do not build AI that diagnoses patients or makes clinical decisions.

Are your systems HIPAA or GDPR compliant?

I do not claim that any system is compliant with HIPAA, GDPR or any other regulation by default. I design for data minimization and least-privilege access, and I review the rules that apply to your practice with you before building. Please do not send patient information through this website.

How much does it cost and how long does it take?

I do not publish fixed prices because the scope depends on your systems and workflow. After a short discovery conversation I provide a written scope and estimate.
